Exchanges Account Coordinator

Experiences Canada`s programming provides Canadian youth with the unique opportunity to see Canada differently, exploring this country’s diverse histories, cultures, and contemporary challenges, and making life-changing connections with peers from coast-to-coast-to-coast.

Experiences Canada is currently looking to fill the position of Exchanges Account coordinator. Due to COVID 19, Experiences Canada has temporarily transitioned its reciprocal exchange program to a virtual format that allows youth to stay connected and collaborate in a virtual space. The virtual exchange program offers a fun and engaging series of activities that encourage youth to share their community’s diverse history, geography, languages, cultures and way of life and contribute their projects to a virtual map of Canada.

This dynamic individual is responsible for the day-to-day administration of both the virtual youth exchange program, and the in-person exchange program. You will work in a small, dedicated team and communicate directly with teachers, group leaders, and exchange participants and their parents regarding registration, travel, paperwork and trouble-shooting difficulties with our online learning platforms. This bilingual mandatory position requires strong administrative, organizational, and interpersonal skills along with experience with data entry.  Knowledge of Salesforce is an asset.

KEY RESPONSIBILITIES:

Program Operations

Data Entry/Salesforce/Talentlms

  • Responsible for testing applications within Salesforce, reviewing applications and ensuring all processes in exchange cycle are up to date within database;
  • Responsible for the overall data entry of exchange projects;
  • Enter costs, collect invoices and reconcile program files;
  • Twin eligible applicants within the database;
  • Connect Organizers and participants to e-Learning platforms and assist with connection queries when required;
  • Download youth projects from Talentlms platform; and
  • Upload youth projects onto virtual map;
  • Connect organizers and parents to secure portal and assist with organizers’ queries when required;

Administration

  • Ensures all projects mandatory documents are completed and saved appropriately in Salesforce and company drive
  • Assists with the preparation of exchange documents (pre, during and post) using Microsoft Suite software e.g. Word, PowerPoint; and Adobe Pro Acrobat;Updates and edits documents in English and French  to reflect program changes and revised health and safety guidelines

Communication

  • Collaborates with Group Organizers and parents to review program objectives and activity plans;
  • Liaises with travel agency to discuss cost and plan travel arrangements;
  • Acts as primary contact with group organizers and parents during  entire exchange, ensures follow-up where necessary;
  • Assist group organizers, parents and youth in submitting projects in virtual exchange program;
  • Participates in conferences as a representative of Experiences Canada and presents information sessions and workshops about the program as required;
  • Staffs the emergency cell phone 24/7 according to a shared timetable;
  • Responds to general inquiries and prepares regular written correspondence about the program;
  • Conducts recruitment calls and visits schools and community groups to promote the program as required;
  • Collaborate with team members to develop new programs;

Summer Student - Education Researcher

Summer Student – Education Researcher

Job Type: Fixed Term Contract – 8 weeks / 35 hours per week.
Salary: $15.00 per hour

THE OPPORTUNITY

As part of our strategic planning process, this research position will assist the program team in better understanding the impact of Experiences Canada programming in supporting healthy youth development, identifying areas for further investigation, and updating key performance measurements and benchmarks for its programs in relation to other comparable youth organizations in Canada.

The student will complete a review of existing program evaluation /impact measurements for a broad range of comparable Canadian youth programs, including outreach to leading academic organizations that conduct work in this area.

Concurrently the student will also review literature available regarding current trends and issues in youth development, notably impacts due to COVID and key concerns and recommendations for strong and healthy recovery among youth.

Fluency in both official languages will be considered a definite asset.

 

Supervision and Mentoring Plans

Due to the pandemic, the student will be working remotely, with online training and twice-weekly check-ins through Zoom or MSTeam meetings. The student will jointly report to the CEO and Director of Programs, who will provide support with general direction, goal setting, and prioritization of tasks. The student will also participate in regular team meetings, as well as participate in presentations and meetings with the President and the board as may be required. Mentoring and coaching will be part of the supervisory role, and students will have hands-on learning opportunities in various aspects of stakeholder consultations, survey design, implementation, and measurement, operational planning and program evaluation. Students will be working in a small, fast-paced virtual environment learning adaptability while working both independently on assignments and in a team context around organizational and project management tasks.

Experiences Canada promotes opportunities for youth to explore their country through experiential learning programs within Canada. Building relationships with corporations, foundations, and other not-for-profits to support the development of its programs is an ongoing part of its operations. This role will focus on the creation of multi-media communications tools to support fundraising, marketing and promotion to schools and to youth. Project will include preparing audio and video PSAs about the work of Experiences Canada; preparing testimonials, infographics, and audio-visual materials to support the digital annual yearbook and project funder reports; developing engaging social media posts to tell the story about our project impacts. This position will provide an opportunity for students to build upon their multi-media production, and editing skills as well as learn about communications and marketing strategies under the co-direction of the Communications Director and the CEO. Fluency in both official languages will be considered an asset.

 

Supervision and Mentoring Plans

Like all of Experiences Canada staff during this time, the student will be working remotely, with online training and twice weekly check-ins through zoom or MSTeams. The student will report principally to the Director of Communications. The directors will provide support with general direction, goal setting, and prioritization of tasks. The student will also have regular contact and work collaboratively with the two-person Communications team in the execution of specific assignments. They will also participate in regular team meetings and attend presentations and meetings with the President, the board, and stakeholders as may be required. Mentoring and coaching will be part of the supervisory role, and the student will have hands-on learning opportunities in various aspects of video production, communications planning, and marketing and fundraising campaigns. Students will be working in a small, fast-paced environment learning adaptability while working both independently on research assignments and in a team context around organizational and communications tasks.

 

Field of Studies

Digital Media (Media Communications, Media Production, Digital Arts), video production, interactive media design, or another discipline with demonstrated media production experience.

This role will focus on the design and layout of various marketing and education materials that will be made available to schools and youth. Projects will include an “inspiration guide” for small school/community projects youth can do to advance Reconciliation in their communities, and layout and design of our digital annual yearbook. This position will provide an opportunity for students to build upon their digital design skills, as well as learn visual communication and marketing strategies under the co-direction of the Communications Director and the CEO.

 

Supervision and Mentoring Plan

Like all of Experiences Canada staff during this time, the student will be working remotely, with online training and twice weekly check-ins through Zoom or MSTeams. The student will be provided with daily direction and supervision, which will include goal setting, frequent meetings with team members and ongoing coaching. This role will focus on preparing marketing and outreach strategies and tactics to support two key national contests, as well as annual Fall fundraising, marketing and promotion efforts to schools and to youth. The student will help to identify and build outreach lists for targeted communications and assist with creating direct marketing materials. This position will provide an opportunity for students to build upon their marketing and communications skills, with a focus on audience research, copywriting, and performance measurement. The student will work under the co-direction of the Communications Director and the CEO. Fluency in both official languages will be considered an asset.

Virtual Choir Application:

 

Note: Participant fees are $50 for 1 x 6 week session, or $75 to sign up for both sessions. This covers rehearsals, all music and other materials required, plus optional participation in the virtual exchange program. These fees will be due once accepted into the program.

 

Experiences Canada is dedicated to ensuring full access to its program regardless of geography, ability or economic circumstance. Limited special measures funding requests are considered on a case-by-case basis.

Remarque : Les frais de participation sont de 50 $ pour une séance de six semaines ou de 75 $ pour s’inscrire aux deux séances.
