Experiences Canada is a national charitable organization dedicated to opening young people’s minds and involving them in a broader world.  We do this by facilitating experiential learning opportunities such as youth forums, travel and exchanges.  Experiences Canada`s programming provides Canadian youth with the unique opportunity to see Canada differently, exploring this country’s diverse histories, cultures, and contemporary challenges, and making life-changing connections with peers from coast-to-coast-to-coast. 

EXCHANGES PROGRAM COORDINATOR

Experiences Canada is currently looking to fill the position of Exchanges Program Coordinator.  Due to COVID 19, Experiences Canada has temporarily transitioned its 85-year old reciprocal group exchange program to a virtual format that allows youth to stay connected and collaborate in a virtual space.  The virtual exchange program offers a fun and engaging series of activities that encourage youth to share their community’s diverse history, geography, languages, cultures and way of life and contribute their projects to a virtual map of Canada.

 

POSITION DESCRIPTION:

This dynamic individual is responsible for the day-to-day administration of both the virtual youth exchange program, and the in-person exchange program that is anticipated to resume in 2022. You will work in a small, dedicated team and communicate directly with teachers, group leaders, and exchange participants and their parents regarding registration, travel (when possible) and trouble-shooting difficulties with our online learning platforms. This bilingual mandatory position requires strong administrative, organizational, and interpersonal skills.

 

KEY RESPONSIBILITIES:

Program Operations

  • Responsible for the overall coordination of assigned groups participating in the program:
    • Maintains comprehensive (digital) program and financial files for each participating group/individual
    • Twins eligible applicants and facilitating introductory meetings between them;
    • Works with Group Organizers to review learning program objectives and activity plans;
    • Ensures registration documents, releases and permissions, and are completed
    • Liaises with travel agency to cost out and plan travel arrangements;
    • Maintains contact with group organizers during actual exchange, ensures follow-up where necessary;
    • Ensures that all groups complete reporting requirements post-exchange
  • Assist group organizers and youth in submitting projects in virtual exchange program;
  • Staffs the emergency cell phone 24/7 according to a shared timetable;
  • Responds to general inquiries and prepares regular written correspondence about the program;
  • Assists with the preparation of exchange documents (pre, during and post) and exchange kits to the group organizers;
  • Updates and edits documents in English and French related to the exchange program e.g. Group Organizer Manual to reflect program changes and revised health and safety guidelines
  • Conducts recruitment calls and visits schools and community groups to promote the program;
  • Participates in conferences as a representative of Experiences Canada and presents information sessions and workshops about the program as required;

The successful candidate will be willing to perform other duties and assignments to support various program activities as may be required.

KNOWLEDGE AND SKILLS:

Knowledge

  • Principles and practices of quality customer service;
  • Principles and practices of file management, and administration;
  • Microsoft Office, including Outlook and Excel;
  • Knowledge of database software (Salesforce) is an asset;
  • Charitable and Not-for-profit organizations;

Skills

  • Planning and organizational skills, solid decision-making and judgment;
  • Advanced knowledge and experience with file management;
  • Effectively  work in a high volume environment;
  • Ability to coordinate multiple files with numerous deadlines;
  • Ability to prepare clear, concise business correspondence;
  • Establishing positive working relationships and interacting effectively with a wide range of people;
  • A positive team player in a small, dynamic office

 

EDUCATION AND EXPERIENCE:

This is an entry-level position.  Typical qualifications would include:

  1. Graduation from college/university;
  2. Two years’ experience performing responsible customer service and general administrative work in a high volume, fast-paced environment—ideally with a youth focus;

LOCATION 

Based in Ottawa, employees are currently working from home due to COVID-19 for an indefinite period.  Post-pandemic work options will be evaluated in the coming year. 

LANGUAGE PROFICIENCY

This position requires oral and written fluency in both English and French. All candidates selected for an interview will be pre-screened for language proficiency.

PROJECT MANAGER

Experiences Canada is currently seeking a project manager for a one-year term position to help us design a series of fun, engaging monthly webinars and workshops and supporting online learning tools for teenagers about career options and planning.  You will also oversee a small team of youth volunteers who will help animate the live events as well as produce a series of video profiles about people’s careers that give young viewers a better sense of what the role is really like.

WHO WE ARE LOOKING FOR

You are an experienced, take-charge professional with ability to manage event administration and logistics to help deliver a high quality fun and informative event for teenagers. Ideally, you will have training or experience working with high school students as an educator, youth group leader, or trainer/counsellor.

You are a trouble-shooter and problem-solver by nature, thrive in a multi-tasking environment, and are unflappable under pressure. Must be able to anticipate project needs, discern work priorities, pay attention to detail and meet deadlines with little supervision. You have a passion for running events and are an outgoing, enthusiastic individual, with a natural ability to build relationships with youth, staff, volunteers, project suppliers and partners.

ROLES AND RESPONSIBILITIES

Virtual Program Coordination and Administration:

  • Develop and maintain a project timeline, budget and work plan and provide regular progress reports to the Experiences Canada management team
  • Coordinate the project design and implementation working collaboratively with the staff team involved in the project’s development (ie Communications, Fundraising, Technical contractors, etc)
  • Lead the recruitment and selection of youth leaders from across Canada who will mentor and support the participants throughout the project
  • Design and plan all aspects of the Youth Leaders training sessions
  • Oversee the work of a summer student contracted to assist with research for the design and planning phase of the project
  • Prepare and modify event contracts as required

Virtual Event Production:

  • Coordinate the production and delivery of 10 bilingual, monthly webinars and workshops; identifying and recruiting presenters and facilitators, liaising with speakers and stakeholders to ensure people are adequately briefed on events and their roles. providing event scenarios, briefing notes and suggested remarks as required
  • Supervise youth leaders in the scripting of webinars, and ensuring adequate testing and preparation prior to each event

Production of Supporting materials:

  • Support the creation and delivery of 6 e- learning modules to be produced in French and English
  • Oversee the creation of bilingual supporting learning resources including lesson plans, lesson slides and discussion guides about the webinar topics; identification of relevant links to other online resources

 

Communications and Marketing:

  • Work with Communications Director to develop and implement a communications plan for recruiting youth and educator participation in the project
  • Work with Communications Director to establish key messages for the design and distribution of promotional materials for distribution to youth, parents, and educational and youth serving organizations via traditional and new media channels
  • Work with Director of Development to support fundraising efforts, providing project briefings and information, liaise with funders as required.
  • In consultation with the President and CEO, oversee the planning and implementation of any public events and announcements with high profile stakeholders during the project
  • Responsible for writing and distributing regular internal project updates, workflows etc.
  • Handle all project inquiries and correspondence

 

Evaluation and Reporting:

  • Ensure that the project deliverables are on time, within budget and at the required level of quality. Provide updates to management and stakeholders as
  • Oversee the administration of the formal evaluation process, pre-event, during the event, and post-event to optimize youth participation in the surveys and evaluation measurements.
  • Evaluate the outcomes of the project as established during the planning phase, prepare draft final project reports for senior management and external

 

Qualifications

  • 2-3 years of experience delivering youth/ education programs, coordinating online programming and production
  • Strong interpersonal and problem-solving skills, diplomacy and tact
  • Excellent communication skills, including writing, proof-reading skills.
  • Highly organized, detail-oriented, with an ability to accomplish projects with little
  • Initiative, resourcefulness and outgoing character with the ability to anticipate potential challenges and find creative solutions
  • Proficient using the latest versions of Microsoft suite of programs; Zoom; and Slack
  • Experience with database management an asset
  • Flexibility to work non-traditional hours during peak periods of the project
  • Volunteer management experience, or experience with a youth-serving organization an asset
