Experiences Canada is a national charitable organization dedicated to opening young people’s minds and involving them in a broader world.  We do this by facilitating experiential learning opportunities such as youth forums, travel and exchanges.  Experiences Canada`s programming provides Canadian youth with the unique opportunity to see Canada differently, exploring this country’s diverse histories, cultures, and contemporary challenges, and making life-changing connections with peers from coast-to-coast-to-coast. 

Account Coordinator

Experiences Canada is currently looking to fill the full time position of Exchanges Account Coordinator. Due to COVID 19, Experiences Canada has temporarily transitioned its 85-year old reciprocal group exchange program to a virtual format that allows youth to stay connected and collaborate in a virtual space. The virtual exchange program offers a fun and engaging series of activities that encourage youth to share their community’s diverse history, geography, languages, cultures and way of life and contribute their projects to a virtual map of Canada.

 

POSITION DESCRIPTION:

This dynamic individual is responsible for the day-to-day administration of both the virtual youth exchange program, and the in-person exchange program. You will work in a small, dedicated team and communicate directly with teachers, group leaders, and exchange participants and their parents regarding registration, travel (when possible) and trouble-shooting difficulties with our online learning platforms. This bilingual mandatory position requires strong administrative, organizational, and interpersonal skills.

 

KEY RESPONSIBILITIES:

Program Operations

  • Responsible for the overall coordination of assigned groups participating in the program:
    • Maintains comprehensive (digital) program and financial files for each participating group/individual
    • Twins eligible applicants and facilitating introductory meetings between them;
    • Works with Group Organizers to review learning program objectives and activity plans;
    • Ensures registration documents, releases and permissions, and are completed
    • Liaises with travel agency to cost out and plan travel arrangements;
    • Maintains contact with group organizers during actual exchange, ensures follow-up where necessary;
    • Ensures that all groups complete reporting requirements post-exchange
  • Assist group organizers and youth in submitting projects in virtual exchange program;
  • Staffs the emergency cell phone 24/7 according to a shared timetable;
  • Responds to general inquiries and prepares regular written correspondence about the program;
  • Assists with the preparation of exchange documents (pre, during and post) and exchange kits to the group organizers;
  • Updates and edits documents in English and French related to the exchange program e.g. Group Organizer Manual to reflect program changes and revised health and safety guidelines
  • Conducts recruitment calls and visits schools and community groups to promote the program;
  • Participates in conferences as a representative of Experiences Canada and presents information sessions and workshops about the program as required;

The successful candidate will be willing to perform other duties and assignments to support various program activities as may be required.

KNOWLEDGE AND SKILLS:

Knowledge

  • Principles and practices of quality customer service;
  • Principles and practices of file management, and administration;
  • Microsoft Office, including Outlook and Excel;
  • Knowledge of database software (Salesforce) is an asset;
  • Charitable and Not-for-profit organizations;

Skills

  • Planning and organizational skills, solid decision-making and judgment;
  • Advanced knowledge and experience with file management;
  • Effectively  work in a high volume environment;
  • Ability to coordinate multiple files with numerous deadlines;
  • Ability to prepare clear, concise business correspondence;
  • Establishing positive working relationships and interacting effectively with a wide range of people;
  • A positive team player in a small, dynamic office

 

EDUCATION AND EXPERIENCE:

This is an entry-level position.  Typical qualifications would include:

  1. Graduation from college/university;
  2. Two years’ experience performing responsible customer service and general administrative work in a high volume, fast-paced environment—ideally with a youth focus;

LOCATION 

Based in Ottawa, employees are currently working from home due to COVID-19 for an indefinite period.  Post-pandemic work options will be evaluated in the coming year. 

LANGUAGE PROFICIENCY

This position requires oral and written fluency in both English and French. All candidates selected for an interview will be pre-screened for language proficiency.

Project Coordinator – Youth Forums

THE OPPORTUNITY

Experiences Canada is currently seeking a Project CoordinatorYouth Forums for a one-year term position to help us design a series of fun, engaging monthly webinars and workshops and supporting online learning tools for teenagers about diversity and inclusion.  You will also oversee a small team of youth volunteers who will help animate the webinars and in person events.

ABOUT US

Experiences Canada is a national charity devoted to opening young people’s minds and helping them see a broader world. Typically we achieve this through educational travel and exchange programs within Canada that foster greater knowledge about and connections to the diversity of Canada’s languages, histories, cultures, and communities. 

This October, Experiences Canada will be hosting a week-long online Youth Forum on Reconciliation.   The forum will offer a combination of inspirational speakers and Elder and Knowledge Keeper teachings as well as practical training and support for planning and realising their own projects and initiatives to support Indigenous communities and the Calls to Action of the TRC.

Following on the Youth Forum on Reconciliation, Experiences Canada will be offering a new program entitled “Do The Work/Faites Le Travail!” that will explore topics in social justice as well as develop allyship and advocacy competencies among youth ages 14-18.  Experiences Canada will deliver a series of 6 public webinars and a 6-month online education program featuring discussion workshops for 60 youth ages 14-25. 

The program will culminate with a 3-day National Forum on Allyship (anticipated to be in person in March, 2022) where youth participants will have the opportunity to apply their training, to share their ideas and strategies for community action and youth engagement and to work collaboratively to produce their own webinar on youth allyship. The older cohort of youth will become youth leaders for the Forum facilitating activities and mentoring youth through their presentations.

WHO WE ARE LOOKING FOR

You are an experienced communicator, you hold a passion for social justice topics, and you have strong organizational and event management skills.  Ideally, you will have training or experience working with high school students as an educator, youth group leader, or trainer/counsellor.

You like creating things as part of a team. You are a trouble-shooter and problem-solver by nature, thrive in a multi-tasking environment, and are unflappable under pressure. Must be able to anticipate project needs, discern work priorities, pay attention to detail and meet deadlines with little supervision. You are an outgoing, enthusiastic individual, with a natural ability to build relationships with youth, staff, volunteers, project suppliers and partners.

Qualifications

  • 2-3 years of experience delivering youth/ education programs or working in a not-for-profit setting, experience coordinating online programming and production beneficial but not essential
  • Strong interpersonal and problem-solving skills, diplomacy and tact
  • Excellent communication skills, including writing, proof-reading skills.
  • Highly organized, detail-oriented, with an ability to accomplish projects with little
  • Initiative, resourcefulness and outgoing character with the ability to anticipate potential challenges and find creative solutions
  • Proficient using the latest versions of Microsoft suite of programs; Zoom; and Slack
  • Flexibility to work non-traditional hours during peak periods of the project
  • Volunteer management experience, or experience with a youth-serving organization an asset
  • Availability to travel to attend planning and training meetings and to attend the in-person next Spring is essential

 Additional Information

  • Fluency in French and English will be prioritised
  • Education and/or youth support work or social work training a definite asset
  • The successful applicant will need to provide a clear criminal record and vulnerable sector check

Experiences Canada’s offices are closed due to the pandemic and all employees are working remotely therefore geographic location can be anywhere in Canada.  The successful applicant will be required to install additional security software on their own devices to have access to our server and shared network.

Salary Range: $45,000- $50,000
